How to check if your employee contracts are up to date
Employee contracts aren’t something most business owners think about until there’s a problem.
But outdated contracts can cause real headaches when things go wrong.
Maybe a role has changed over time, a clause no longer fits how the business operates or the law has moved on. When contracts fall behind, it leaves everyone uncertain about what applies and what doesn’t.
Here are a few simple ways to check if your contracts still work for your business.
1. Look at what has changed
If job roles, working patterns, pay structures or benefits have changed, your contracts should reflect that.
Regular updates help to prevent confusion and make sure expectations are clear on both sides.
2. Check for consistency
Contracts should be consistent across your workforce. That doesn’t mean every clause has to be identical, but there should be fairness and alignment in key terms like notice periods, holiday and working hours.
3. Make sure they reflect how you actually work
Working arrangements look very different now to a few years ago.
That might mean hybrid or home-based roles, flexible hours on site, new shift patterns or the use of different technology and equipment.
If your contracts still describe a standard 9-to-5 office setup or don’t reflect how people really do their jobs, it’s time for a refresh.
4. Keep an eye on legal changes
Employment law evolves regularly. Even small updates can affect what your contracts should include. You don’t need to become an expert, but you do need to review them periodically to stay compliant (or bring in an HR consultant to do it for you!)
5. Review policies and handbooks too
Contracts work hand in hand with your policies and handbook. If one is out of date, the other probably is too. Reviewing everything together keeps your documents consistent and reduces risk.
